What it does

The agent sits between your order management system and your team, watching for problems so you don't have to:

  • Polls the order API every 30 minutes for new and updated shipments
  • Detects shipping delays by comparing carrier status against expected delivery windows
  • Notifies affected customers with updated timeline emails when delays are confirmed
  • Escalates high-value orders to a human team member via Slack or Telegram for personalized outreach
  • Maintains a delivery dashboard with status of all active shipments, updated after each polling cycle

Setup overview

  1. Install the Slack or Telegram skill for team escalation alerts
  2. Connect your store API (Shopify, WooCommerce, or any REST endpoint that exposes order/shipment data)
  3. Write a SOUL.md defining delay thresholds (e.g. 2+ days late), escalation rules for high-value orders, and customer notification tone
  4. Configure a cron schedule: openclaw cron add --schedule "0 */2 9-17 * * MON-FRI" (every 2 hours during business hours)
  5. Set up carrier API access (UPS, FedEx, USPS) so the agent can cross-reference tracking status

LLM and tools

Uses Claude 4.5 Sonnet for interpreting shipment status, drafting customer-facing delay notifications, and deciding when escalation is warranted. Shell access handles the API calls and dashboard updates. OpenClaw's persistent memory keeps an audit trail of all notifications sent and escalations triggered.

Tips

  • Start read-only: let the agent monitor and report for a week before enabling customer-facing emails
  • Use sandbox/test orders from your store's staging environment to validate delay detection logic
  • Define clear boundaries in your SOUL.md -- specify exactly which order values trigger human escalation and what the agent is not allowed to do (e.g. issue refunds)
  • Review logs regularly: the daily memory files track completed tasks and pending items, giving you a full audit trail
  • Forward shipping confirmations to a dedicated mailbox if you want the agent to also extract tracking numbers from email
